Each year, the reservation system will be live for:
– Preseason requests from October 15th through 31th
– Regular reservations from November 15th through September 30th
– Closed to any requests from October 1st to 15th as well as November 1st to 15th
Below are step-by-step instructions.
If the instructions are unclear or incorrect, please email reservations@ascny.org and your reservation can be created manually.
Section 1: Making a Reservation During the Ski Season and Off Season
From November 15th – September 30th
- IMPORTANT: Please request all rooms/bunks for a given stay in one order. Go to your cart to check out once you have all the rooms and bunks in your shopping cart. Please do not start your next weekend request until after you have checked out with the first stay.
- In the RESERVATIONS drop down, please review room rates and Reservation Policies prior to booking.
- In the RESERVATIONS drop-down, navigate to MAKE A RESERVATION, either weekly or monthly view.
- Use the arrows next to “This Month/Week” to go to the month/week in which your desired reservation will begin.
- Hover over the accommodation (room or bunk) you wish to reserve and select the black “Select Options” button. Note: If the room or bunk you want is not listed, that room is fully booked. *If no suitable space is available, select the Wait List Rooms/Bunks as appropriate.
- Identify the number of members and / or guests for this accommodation. Note, each bunk is a separate accommodation.
- Scroll forward on the calendar image using the right arrow in the upper right corner of the calendar until you get to the month in which your arrival date falls.
- Select your arrival date.
- Select your departure date.
- Note: You are not selecting the nights you are staying. You are selecting the arrival and departure dates. In other words, for a regular weekend, your arrival date will be Friday and departure will be Sunday and your reservation will cover parts of three calendar days. You will still be charged only for two nights. This is common on hotel reservation apps, but a change from our last reservation system.
- Note: Winter weekend stays require a Friday and Saturday night. Holiday weekend stays have a three-night minimum.
- Select whether you wish to pay a 50% deposit or the full amount of the accommodation.
- Click the blue “Book now” button.
- The accommodation has now been added to your cart and you may continue to make additional reservations for this stay using the steps above. Do not add reservations for separate stays/weekends until you have checked out of your cart for this current stay/weekend.
- You now have an active shopping cart and can see a cart image at the top navigation bar.
Completing the Reservation
- Go to your cart. (Use the “View Cart” navigation on the right side of the green bar or the cart image in the top navigation bar.)
- Check all the arrival and departure dates.
- Note: the times of check in and check out are not definitive but because we are using an off-the-shelf reservations system the assumption is that the guest needs to know the specific arrival and departure times.
- Hit “Proceed to Checkout” at the bottom.
- Add any special requests in the “Order Notes” box. Note: Please use this space to indicate the names of the members and guests; if children are included, please add names, ages and gender in the notes box.
- Agree to the terms & conditions and hit “Place Order” button.
At this point, you should receive a confirmation email from reservations@ascny.org titled “Your ASCNY order has been received!”
- If you selected to pay 50% during the reservation process, you must pay the remainder upon receipt of the final billing. It is your responsibility to make the remaining payments before arrival. If the reservation is not paid before arrival, it risks getting put back into the pool and someone on the Wait List could be notified that the room is now available.
- If you selected to pay in full during the reservation process, you will be asked to make the full payment. By paying in full, you will not need to make a second payment and therefore will not be at risk of potentially losing the rooms.
Section 2: Making a Waitlist Request
If the accommodation is not available on your desired dates, you may select Wait List Rooms or Wait List Bunks to be added to the wait list. The wait list operates like the pre-season signup according to the directions below.
Section 3: Making a Ski Season Reservation Request During the Preseason Open Signup Period
From October 15 – 30st

- Use the arrows next to “This Month” to go to the month in which your desired reservation will begin.
- Hover over the accommodation (room or bunk) you wish to reserve and select the black “Select Options” button. Note: You are requesting a room or a bunk. Specific rooms or bunks can be requested at check out.
- Identify the number of members and / or guests for this accommodation.
- Scroll forward on the calendar image using the right arrow in the upper right corner of the calendar until you get to the month in which your arrival date falls.
- Select your arrival date.
- Select your departure date.
- Note: You are not selecting the nights you are staying. You are selecting the arrival and departure dates. - For preseason reservation requests, you will not be charged at the time of the request.
- Click the “Check Availability and Add to Cart” button.
- If “Check Availability and Add to Cart” is not active, check that you have the correct number of members and guests above.
- You now have an active shopping cart and can see a cart image at the top navigation bar. At this point, the actual costs for non-holiday and holiday rooms plus applicable taxes will be populated.
- Special Instructions for Bunks:
- Each bunk is its own request and needs to be booked separately. You can not book three bunks at one time and add all three bunks into the cart.
Completing the Reservation Request
- Go to your cart. (Use the “View Cart” navigation on the right side of the green bar.)
- Check all the arrival and departure dates.
- Note: the times of check in and check out are not definitive but because we are using an off-the-shelf reservations system the assumption is that the guest needs to know the specific arrival and departure times.
- Hit “Proceed to Checkout.”
- Add any special requests in the “Additional information / Order Notes” box. Note: if you would like a specific room here is where you note that. If guests or children will be in the request, please add names, ages and gender in the notes box.
- Agree to the terms & conditions and hit “Request Confirmation”
IMPORTANT: At this point your request will be sent to the Reservations Committee and you will have received an acknowledgement of your request. Confirmations will be sent out in November. If your request is not met, you will be added to the Wait List for that weekend.
Once you receive the confirmation email, you will be asked to go to the website and complete your payment. Do this by clicking on “Pay for booking.”
- If you selected to pay 50% during the reservation request process, you must pay the deposit within a week of the email confirmation to risk not losing the rooms. A few days prior to your arrival, you will receive an email letting you know you need to make your final payment. It is your responsibility to make the remaining payments before arrival. If the reservation is not paid before arrival, it risks getting put back into the pool and someone on the Wait List could be notified that the room is now available.
- If you selected to pay in full during the reservation request process, you will be asked to make the full payment. By paying in full, you will not need to make a second payment and therefore will not be at risk of missing the final payment and potentially losing the rooms.
Once the preseason reservation request period is over, confirmations have been populated into the calendar and you wish to make reservations during the season, the process is slightly different. Check back for additional instructions at that time, if you need assistance.
